Media Creation Lab: User Agreement

Please read the agreement below, and answer the quiz questions at the bottom to verify your understanding. If you answer all questions correctly, you'll be able to register as an approved Media Creation Lab user for one year.


AGREEMENT TO THE TERMS AND CONDITIONS: As a Media Creation Lab (MCL) user, you are required to read and agree to this “User Agreement” once per year. Failure to comply with any of the terms and conditions set out herein may result in your MCL equipment borrowing privileges being suspended or revoked.

ELIGIBILITY: York University undergraduate and graduate students, faculty and staff with York University Libraries access privileges may borrow equipment from the MCL (“Borrowed Equipment”) or use its onsite studios, the VR rooms, and the computing lab. Access will be suspended if you owe $25.00 or more in fines or if you have previously violated the MCL Equipment Lending Terms and Conditions of Use (see below). Students with unpaid bills will have their grades withheld.

LIABILITY: MCL users agree to assume all liability for the cost of repair or replacement of equipment or peripherals, whether they are borrowed or used onsite. This includes liability for loss due to theft, damage, negligence or misuse.

York University is not responsible for lost files due to hardware,  software, or equipment failure.


Use of onsite space

All Media Creation Lab users agree to adhere to our Safer Spaces policy.

When you use our computer lab, a studio space or VR room for the first time, you will be provided with an orientation to the space and its equipment. Food and drink are not allowed in our spaces except for drinks in spill-proof containers (e.g. sealed water bottles). Arrive on time for your space booking, and ensure all work is finished (including equipment resets and file exports) in time for the end of your booking. Return all equipment to its initial configuration before exiting the space. Group booking are allowed but each space has a maximum capacity associated with it that must not be exceeded without special arrangement with MCL staff. If a space is booked for more than one person, liability for lost or damaged equipment lies with the person who makes the space booking.

Onsite Noise and Good Neighbours

Our space is shared by library staff and students, and the walls between areas are thin. As a result, please keep unnecessary noise to a minimum and let MCL staff know if ambient sound is affecting your audio or video recording work.

Late Return of Borrowed Equipment

Overdue equipment will result in fines. Returning your equipment late is not an option – your fellow students may be waiting to use the equipment and are relying on you to return it on time and in working order. If unavoidable circumstances make it impossible to return equipment on time, you are expected to notify the MCL as early as possible. Depending upon circumstances you may be granted extra time to return your order. Only MCL management can authorize extensions to equipment or facility loans.  

Checking Equipment

Our staff check borrowed equipment for loss or damage when it is returned, and regularly check our onsite spaces to ensure they are in good working order. There is no absolute guarantee that equipment is in perfect working order when you get access to it. You are expected to thoroughly check all equipment and lab facilities at the start of your booking. You must inform MCL staff of any problems within twenty minutes of receiving the equipment or checking into your MCL space. You will not ordinarily be held responsible for equipment or facility problems reported within twenty minutes.

Reporting Broken or Lost Equipment

We need to know about any malfunctions, damages or loss immediately to keep all equipment and facilities in working order. When you report lost or damaged equipment, MCL staff will record notes in our booking system. You will be notified shortly of any cost associated with this loss or damage.


Media Creation Lab Usage Terms and Conditions

  • Subject to availability, you may sign out Borrowed Equipment for a maximum of one week.
  • Present your YU-card when picking up Borrowed Equipment or arriving for an appointment in one of our spaces.
  • You are responsible for safeguarding and keeping secure the Borrowed Equipment while it is signed out, and for minimizing wear and tear on the equipment and its components.
  • Arrive on time for your appointments, and finish use of our onsite spaces on time.
  • You are responsible for safeguarding our spaces and equipment while they are in your care, and for minimizing wear and tear on the equipment and its components.
  • You agree not to leave borrowed equipment unattended.
  • Report any malfunctions or problems with our spaces or with the use of the Borrowed Equipment to MCL Staff as soon as possible.
  • You must return Borrowed Equipment on time, completely intact, and in person at the Media Creation Lab service desk.
  • Borrowed Equipment must be returned at least 15 minutes prior to the MCL closing time.
  • Overdue fines at the rate of $5.00 per day will be charged to Borrowers who do not return Borrowed Equipment on time. 15 days following the due date, equipment is assumed lost and you will be charged the full replacement cost.
