Treatment of special formats in Special collection 

(Accompanying materials, inserts, pamphlets) 

1. Accompanying materials 

When cataloguing a book for Scott Special Collections (SC-SPCOLL) that has accompanying material such as a CD-ROM or audio-CD, please create separate holding record and locate the accompanying item in SC-SPCOLL. Give the main item an accession call number with the appropriate identifier such as BOOK. Assign the accompanying item the same accession call number as the main item with the appropriate identifier (e.g. COMPACT DISC, CD-ROM).  

2.  Inserts

If a special collection book has inserts separating from the item, pls glue a pocket inside the book back for the inserts.  

Indicate the inserts in field 300 $$e.  

In item record, for Pieces, enter the total number including the book and its inserts. 

3. Pamphlets 

If a book has less than 100 pages, pls catalogue it as a pamphlet in General Pamphlet Collection (GPC) 

Multiple copies of pamphlets are not normally collected by Archives and Special Collections. Exceptions might be made for: 

  • older material 
  • fragile material 
  • copies that are in better shape 

When you find we already have a particular pamphlet, pls print out the bibliographic record for the title and put the printout in the added copy. Then place it in the second copy pamphlet box which has been put aside for final review by Archives and Special Collections staff.
